Operating reserve

Money an owner keeps on hand with the manager so bills and repairs can be paid even when rent collections run short.

The management agreement typically sets a reserve amount per property, such as a fixed dollar figure or one month's expenses. Owner distributions pay out only what exceeds the reserve.

Reserves let managers approve urgent repairs without waiting for new owner funds. Separate capital reserves may be set aside for larger future replacements. When the balance falls below the reserve, the manager may ask the owner to contribute funds before paying further bills.
