Rules that start tasks, messages or approvals automatically when something happens, such as a lease signing or a missed payment.
A workflow pairs a trigger (a notice to vacate is recorded) with steps (schedule the move-out inspection, send the move-out checklist, create turn work orders). Steps can wait for a date, require a person's approval, or branch on conditions.
Automation makes routine processes consistent across staff and properties and frees time for work that needs judgment. Workflows should be reviewed when policies change so they do not keep running outdated steps.
