Lesson 3 of 4 · 5 min

Preventive maintenance schedules

Recurring items such as HVAC filters, smoke detector batteries and fire extinguisher inspections.

Preventive work is cheaper than repairs. Schedules on Operations › Maintenance › Schedules remind you when each recurring item is due.

  1. Open Maintenance and choose Schedules.
  2. Add a property-wide item, such as elevator inspection, fire extinguisher inspection or dryer vent cleaning, with a cadence in days.
  3. Add unit-specific items, such as HVAC filters, from each unit's own page. They appear on the Schedules list too.
  4. Check Due now weekly. It lists schedules whose cadence has elapsed since the last occurrence.
  5. Create the occurrence to turn a due item into work.
  • Pause a schedule rather than deleting it when a building is under renovation.
  • Use realistic cadences. A 90-day filter schedule that is always late is worse than a 60-day one that is kept.
  • Assign occurrences to a named technician or vendor, so a due item never sits unowned.
The maintenance queue: work orders by property, unit, status and vendor.
